Job Description

POSITION SUMMARY

A. Project Accounting - To support the project team regarding contract modifications, compliance, payments, reports and any other duties related to the project. The PA shall be expected to occasionally travel to project sites for job status review meetings.

B. Property Accounting – To support the day to day accounting of real estate management transactions. The position is generally responsible for closing the books and records for properties under our management and all the related ancillary accounting.

PROJECT ACCOUNTING ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential Functions

    • Manage all accounting and related functions for assigned projects through reports.
    • Assist and respond to project teams’ needs related to accounting with guidance.
    • Manage invoices, payments, and compliance for assigned projects.
    • Have an understanding of compliance requirements for assigned projects.

Responsibilities

    • Process vendor invoices accurately and within assigned timelines.
    • Process sub-contractor payments accurately and within assigned timeline.
    • Collect and track compliance documents.
    • Generate reports including Payroll, Contract Status, Job Cost and ad-hoc.
    • Input owner billings in spread sheet
    • Undertake Job cost report modifications as needed.
    • Other related duties as assigned.
    • Prepare monthly, quarterly, and annual client reports.

PROPERTY ACCOUNTING ESSENTIAL DUTIES AND RESPONSIBILITIES

Daily Tasks

    • Researches and answers Property Managers’ questions regarding tenant statements.
    • Reviews works as tenant credit memos, non-recurring billings and questionable cash receipts for entry.
    • Prepares security deposit refund invoices and delivers to Accounts Payable department.
    • Prepares tenant account analysis and reconciliations when tenants dispute charges to their accounts.

Weekly Tasks

    • Reviews accounts payable voucher submissions for legal and repair and maintenance expenses.
    • Reviews accounts receivable for delinquencies, cash applications and prepaid application.

Monthly Tasks

    • Calculates monthly contract item accruals such as janitorial, security and utility expenses to match expenses

to the period incurred, and review trial balance for reversing of same entries in next accounting period.

    • Prepare balance sheet tie-out to balance the general ledger and commercial management systems.
    • Prepare Preview Statements and distribute to ensure following month’s recurring charges and past due charges are accurate.
    • Calculates and records appropriate depreciation and tenant improvements, and leasing commissions.

OTHER ORGANIZATIONAL ESSENTIAL FUNCTIONS;

    • Review all property management financial reports on the individual assets.
    • Record equity in earnings for joint ventures
    • Consolidate all investments within a Fund.
    • Perform cash management functions.
    • Record and reconcile financial information.
    • Prepare monthly, quarterly, and annual client reports.
    • Prepare annual cash audit work papers, annual audit and tax work papers.
    • Prepare internal and external performance returns.
    • Prepare monthly bank reconciliation’s for checking accounts.
    • Calculate and prepare statements of accounts and cash flows.
    • Be conscientious about achieving deadlines and has an accurate work product.
    • Assume accountability for specific performance.
    • Strong organization skills, Detail oriented and very analytical
    • Quantitative propensity with ability to spot errors.
    • Familiar with internal rate of return calculations.
    • Familiar with consolidating and equity method of accounting.
    • Understand variance analysis when comparing actual to budget or historical results
    • Employ problem-solving skills and analysis, and report problems as necessary.
    • Strong service orientation, Knowledge of the project structure in a client/consultant business environment.

QUALIFICATIONS

    • CPA or Bachelor’s degree in accounting, or in a related field.
    • Minimum 2 years’ experience working as an accountant or bookkeeper.
    • Experience in the construction and Real estate industries preferred.
    • Proficient in data entry, accounts payable, accounts receivable and vendor payments.
    • Ability to utilize word processing, spreadsheet and accounting software systems.
    • Key competencies are Communication, teamwork, initiative, and dependability
